Terms and conditions

Please read the information below carefully before completing your registration form.
If you have any questions, don’t hesitate to contact me.
Waddling Woofs cannot provide any services until these Terms & Conditions have been agreed to by signing the registration form.

Effective from 1st of May 2026

1. Registration & Health

  1. All clients must complete a registration form before their pet can attend Waddling Woofs services.

  2. You must inform Waddling Woofs of any changes to your pet’s health or behaviour.

  3. ​Dogs that have received a kennel cough vaccination must not attend group walks for a period of 10 days following vaccination, due to the use of a live vaccine.

2. Trial period

  1. All dogs will undergo a trial period of 1–2 weeks to ensure they are suitable for group walks. While every effort will be made to help your dog settle, Waddling Woofs reserves the right to withdraw services if a dog is not a suitable fit for the group.

3. Exercise & Feeding

  1. Dogs must not be fed within one hour of a scheduled walk to reduce the risk of Bloat.

  2. Walks take place in outdoor areas, which may be muddy. Dogs will be rinsed and dried where possible, but may not return completely dry or clean. Waddling Woofs is not liable for grooming or laundry costs.

  3. If there are specific drop-off locations or requirements for muddy days, please note these in the registration form.

  4. During registration, clients will specify whether their dog may be walked off lead. This preference can be updated at any time.
    Where off-lead permission is granted, dogs will only be let off lead in areas deemed safe and appropriate by Waddling Woofs.

4. Dog behaviour & Safety

  1. Dog-to-dog interaction is allowed during group walks and is carefully monitored. Minor injuries may occur during normal play.

  2. Bitches in season are not permitted on group walks. During this time, your regular slot will be held and the space-holding fee will apply, as outlined in the absence policy.

  3. Dogs who have been unwell prior to a scheduled walk may be refused for the safety of other dogs; charges will still apply.

  4. You authorise Waddling Woofs to use any equipment deemed necessary to prevent injury to dogs or staff.

5. Emergencies & Veterinary Care

  1. If a dog becomes injured or shows signs of illness while in care, Waddling Woofs will contact the owner or emergency contact as soon as possible.

  2. If contacts are unreachable, Waddling Woofs may seek veterinary advice and, in emergencies, may take the dog to the nearest veterinary clinic rather than the preferred vet.

  3. You are responsible for the full cost of any treatment deemed necessary. Payment is due upon collection of your dog.

6. Access & Property

  1. You must provide keys or arrange access for your dog at the agreed times. Failure to do so will result in cancellation of that day’s service, which will still be payable.

  2. Waddling Woofs is not responsible for any lost, stolen, or damaged collars, tags, clothing, or other items brought on walks.

  3. Pick-up and drop-off times may be delayed by a maximum of 2–3 hours in the event of an emergency.

7. Weather & Walk Conditions

  1. Walks may be cancelled due to unsafe conditions. When possible, notice will be given and refunds issued.

  2. If conditions allow, a drop-in visit may be offered as an alternative.

  3. Walking times may be advanced or delayed due to hazardous weather or safety concerns.

8. Service Availability

  1. In the event of illness, injury, or unforeseen circumstances, services may need to be cancelled or adjusted at short notice. I will always do my best to give as much notice as possible and offer alternatives where I can.

9. media and marketing

  1. During registration, clients are given the option to opt in or out of media usage. By opting in, you give permission for Waddling Woofs to take photographs of your dog and use them for marketing and social media purposes.

8. Data Protection

  1. Personal data will be stored securely on a password-protected device and accessed only by Waddling Woofs and an emergency contact.

  2. Keys and access information will be stored securely and handled with the utmost care. They will never be shared with third parties and will only be used for the purpose of providing agreed services.

9. Payments

  1. Invoices are issued weekly unless otherwise specified.

  2. Payment is due within 7 days of the invoice date.

  3. Failure to make payment by the due date may result in a £5 late fee and/or suspension of services until the balance is cleared.

10. Space-Holding & Absences

  1. Regular weekly slots are reserved exclusively for your dog.

  2. Absences of up to 5 consecutive working days will not incur a charge.

  3. Absences exceeding this period will incur a reduced space-holding fee of 50% to retain the slot.

  4. Ad hoc bookings during periods of absence do not replace this fee.

  5. Fixed time slots are guaranteed only for weekly clients. Fortnightly or ad hoc clients will be accommodated where availability allows, without guaranteed group or consistent schedule.

  6. A minimum of 1 walk per week is required to secure a regular slot.

11. Cancellations

  1. Cancellations must be made at least 48 hours prior to a scheduled walk.

  2. Cancellations made within 48 hours will be charged in full.

  3. To cancel ongoing weekly services, a minimum of 2 weeks’ notice is required.

  4. Waddling Woofs reserves the right to terminate services with immediate effect in cases of behavioural concerns, non-payment, or a serious breach of these Terms & Conditions.

12. Variations

  1. No changes to these Terms & Conditions will be valid unless confirmed in writing and signed by Waddling Woofs.
